How a Central Government Department is Investing in their Future

Key Challenges

A requirement was identified for a trusted, agile, secure, global asset tracking system aligned with strategic goals. We created a specialised workstream in order to address the key challenges faced.

Project Clarity

We identified spaces where there were upwards of 100 live projects at differing stages of maturity, that were conflicting and changing the landscape of the portfolio

Reporting

We observed and improved different reporting processes of global assets that were not aligned

Data Management

There were multiple data sources operating in silos, and the solution needed to deliver improved data protection and management benefits.

How We Delivered

Process Mapping

We developed process mapping to support continuous stakeholder engagement, improvement, and audit traceability

KPI Tracking

Introduced KPI tracking for users, access events and case studies (benefits tracking) to enable next-stage delivery for the wider projects

Integration Plan

Developed an initial integration plan with dashboards to gather feedback and refine governance improvements

Measurable Results

Stakeholders quickly gained confidence in the integrated plan, particularly when used for their maintained projects. There was a resulting 400% increase of users and access events in the first 12 weeks of go-live.

We improved data visibility, allowing departments to easily access reporting such as; Asset Layouts, Financial Planned vs Actuals and the Pipeline, as departments had previously been working in silos due to lack of shared data.

The successful delivery of developmental changes per region increased the benefits realised by 20% in the first 3-months of go-live. This was evident in the tool being used to form meeting agendas with the relevant agenda data.

By using a hybrid approach of both Project and Change Management methodologies, we ensured a sound and robust governance structure was followed throughout the project lifecycle.
